Integrate IT Company LTD, operating Integrate Property (“Integrate Property,” “Integrate,” “we,” “us,” or “our”), provides software and related services for landlords, property managers, property-management companies, staff members, tenants, and other authorized users.
This policy describes our practices concerning personal information. It does not replace any separate agreement between Integrate Property and a customer, including our Terms of Service, subscription terms, data-processing terms, or other written agreements.
2. Scope of This Policy
This policy applies to personal information collected through the Integrate Property website, landlord dashboard, tenant experiences, mobile applications, account registration, customer-support channels, email communications, payment workflows, reports, documents, and related services.
It does not apply to third-party websites, services, or applications that we do not own or control, even when those services are linked from Integrate Property.
3. Information We Collect
Depending on how you use the platform, we may collect the following categories of information:
- Account and identity information: name, email address, telephone number, profile image, account role, organization, job role, login information, and account status.
- Property information: property names, addresses, property types, photographs, unit information, amenities, descriptions, occupancy information, and ownership or management details.
- Tenant and occupant information: names, contact information, profile photographs, emergency-contact information, notes, unit assignments, move-in and move-out information, and other information entered by an authorized customer.
- Lease information: lease dates, rental amounts, security deposits, unit assignments, lease status, uploaded agreements, renewal information, and termination information.
- Payment and billing information: invoices, charges, payment amounts, payment dates, payment methods, transaction references, balances, receipt information, subscription status, and billing history.
- Maintenance information: ticket titles, descriptions, categories, priority, status, photographs, assigned staff, tenant or unit associations, completion details, and internal notes.
- Files and documents: leases, identification documents, property records, reports, receipts, supporting photographs, and other files uploaded by authorized users.
- Technical and usage information: browser type, device type, operating system, IP address, approximate location, pages visited, actions performed, timestamps, session information, logs, and diagnostic information.
- Communications: support requests, feedback, emails, notices, invitation records, and other communications with us or sent through the platform.
4. Information Provided by Customers
Landlords, property managers, organizations, and authorized staff members may upload or enter personal information about tenants, occupants, employees, contractors, vendors, applicants, emergency contacts, and other individuals.
In these circumstances, the customer generally determines why and how that information is entered and used. Integrate Property processes the information to provide the services requested by that customer.
5. How We Use Information
We may use personal information to:
- Create, administer, authenticate, and secure accounts.
- Provide property, unit, tenant, lease, payment, reporting, maintenance, document, notification, and team-management features.
- Generate invoices, receipts, statements, reports, and other requested documents.
- Process subscriptions, payments, refunds, and billing inquiries.
- Send account notices, invitations, receipts, security alerts, maintenance updates, and service communications.
- Provide technical support, investigate errors, and respond to requests.
- Monitor platform performance, availability, reliability, and security.
- Detect, investigate, and prevent fraud, unauthorized access, abuse, and other harmful activity.
- Improve existing features and develop new products and services.
- Comply with legal obligations, court orders, regulatory requirements, and lawful government requests.
- Enforce our agreements and protect the rights, property, and safety of Integrate Property, our customers, and others.
6. Grounds for Processing
Where required by applicable law, we process personal information on one or more of the following grounds:
- To perform a contract or provide services requested by a customer or user.
- To comply with legal, regulatory, accounting, or security obligations.
- To pursue legitimate business interests, such as protecting the platform, improving services, and preventing fraud.
- With consent, where consent is required or otherwise appropriate.
8. Service Providers
We rely on third-party infrastructure and technology providers to operate Integrate Property. These providers may process limited personal information on our behalf for purposes such as:
- Cloud hosting and application deployment.
- Database, authentication, and file storage.

- Payment processing and subscription management.
- Document and receipt generation.
- Analytics, monitoring, error reporting, and security.
Our providers are permitted to process information only as necessary to provide their services to us and subject to their contractual and legal obligations.
9. Payments and Financial Information
Integrate Property may store payment-related records such as invoice amounts, balances, payment methods, transaction references, dates, receipt information, and payment status.
Payment-card or bank-account information may be processed directly by a third-party payment provider. We generally do not intend to store complete payment-card numbers or sensitive banking credentials within the Integrate Property database.
Customers are responsible for ensuring that payment records entered manually into the platform are accurate and lawfully maintained.
11. Data Retention
We retain personal information for as long as reasonably necessary to provide the services, maintain business and financial records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, and maintain platform security.
Retention periods may vary depending on the type of information, the customer’s subscription status, contractual requirements, legal obligations, and whether the information is contained in backups, audit logs, invoices, receipts, or security records.
When information is no longer required, we may delete, anonymize, or securely isolate it, subject to applicable law and technical limitations.
12. Data Security
We use administrative, technical, and organizational measures designed to protect personal information. These measures may include encrypted network connections, authentication, role-based access control, row-level database security, access logging, secure cloud infrastructure, restricted administrative access, and backups.
No electronic system, transmission method, or storage environment is completely secure. We therefore cannot guarantee absolute security. Users are responsible for maintaining strong passwords, protecting their login credentials, enabling available security features, and notifying us promptly of suspected unauthorized access.
13. International Processing
Integrate Property and its service providers may store or process information in The Bahamas, the United States, or other countries where our providers operate.
Privacy and data-protection laws in those locations may differ from the laws in your country. Where required, we use contractual, technical, or organizational safeguards intended to protect information processed across borders.
14. Your Privacy Rights
Subject to applicable law and verification of your identity, you may have the right to request:
- Access to personal information held about you.
- Correction of inaccurate or incomplete information.
- Deletion of information that is no longer required or is processed unlawfully.

Some information is controlled by the landlord, property-management company, or organization that entered it. In those cases, we may direct the request to the relevant customer or assist that customer in responding.
We may retain information where required for legal, security, fraud-prevention, accounting, contractual, or legitimate business purposes.
15. Customer Responsibilities
Customers who upload or enter information about tenants, occupants, employees, applicants, vendors, contractors, or other individuals are responsible for:
- Having a lawful basis or appropriate authorization to collect and process that information.
- Providing any privacy notices or disclosures required by applicable law.
- Limiting account access to authorized users with appropriate roles and permissions.
- Keeping records accurate, relevant, and reasonably current.
- Avoiding the upload of unnecessary sensitive information.
- Responding to privacy requests concerning information they control.
- Using the platform in compliance with applicable housing, employment, financial, consumer-protection, and privacy laws.
16. Children’s Privacy
Integrate Property is designed for landlords, property managers, authorized staff, adult tenants, and other authorized business users. It is not directed to children for independent use.
Customers should not create independent user accounts for children or upload unnecessary information concerning minors. Information about minor occupants should be limited to what is reasonably necessary for lawful property-management purposes.
17. Third-Party Links
Integrate Property may contain links to third-party websites, app stores, payment services, support resources, or other external services. We are not responsible for the privacy, security, content, or practices of services we do not control.
18. Legal Disclosures
We may preserve, access, or disclose information when we reasonably believe it is necessary to:
- Comply with applicable law or legal process.
- Respond to lawful court or government requests.
- Protect the security and integrity of the platform.
- Investigate fraud, abuse, or suspected wrongdoing.
- Protect the rights, property, or safety of Integrate Property, our users, or the public.
- Enforce our agreements and policies.
19. Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, technology, business operations, providers, or legal obligations.
